Room set-up 

The room arrangement will to a large extent depend on the purpose of a meeting. Participants talking with each other will need to make eye contact. If the purpose of the meeting is to give information, participants should face the speaker, usually at the front of the room.

If it is a decision-making meeting, the participants should face each other. The usual protocol for formal meetings is that the chairperson normally takes the head of the table, with the minutes secretary at their right. There are several common room arrangements used for meetings, such as:

  • U-shape
  • amphitheatre
  • classroom
  • theatre
  • round table
  • basic boardroom.
