Student management

The Student Management Department is responsible for:

  • Student name, address and statistical details
  • Student enrolment and result details
  • The issuing of results and certificates
  • Administrative functions relating to apprenticeships and traineeships
  • Processing Exemptions and Recognition of Prior Learning (RPL)
  • The conduct of student related audits
  • Provision of data to funding bodies and Centrelink

Campus Reception

To assist us in keeping your records up to date a number of forms are available through student management in the student portal.

Application for Certificate
Once you have successfully completed all the requirements of your course you are eligible to receive a certificate. Filling out and submitting this form will enable this to happen. If you are unsure whether you have completed all the requirements, check with your coordinator or Department Manager. Completed forms can be submitted to the Student Management office in Warrnambool or the Reception Desk at any campus.

 

Application for Replacement Certificate
Please download, print and fill in form. Completed forms can be submitted to the Student Management office in Warrnambool or the Reception Desk at any campus.

 

Change of Address (can also be done via OnCourse)
Please download, print and fill in form. Completed forms can be submitted to the Student Management office in Warrnambool or the Reception Desk at any campus.

 

Enrolment Amendment 
Use this form if you are adding or withdrawing individual units within your course. Your teacher will need to authorise this form before you submit it to the Student Management office in Warrnambool or the Reception Desk at any campus. Extra fees may be payable for additional units.

 

Enrolment Cancellation
This form is to be used when you are cancelling your total enrolment in a course. You should discuss your enrolment cancellation with your teacher/coordinator before submitting it. The Institute has a wide range of support and counselling services available to students. Accessing these services before you cancel your enrolment may be worthwhile.

Once you have filled out the form and had it authorised by your coordinator you must submit it to the Student Management office in Warrnambool or the Reception Desk at any campus.

Depending on when you cancel your enrolment you may be eligible for a refund.

The State Government’s withdrawal policy allows for:

A student who officially withdraws within four weeks of the course commencing in order to take up a place at another tertiary institution will receive a full refund of all fees paid. The letter of offer from the tertiary institution will need to be provided.

A student who officially withdraws within four weeks of course commencement for other reasons will receive a refund of fees paid less $53.00 (minimum tuition fee).

Students who withdraw within the first four weeks, but do not complete an Enrolment Cancellation form until later, will not receive a refund.

A student who cancels after four weeks of the course commencing will not receive a refund. It is the responsibility of the student to withdraw from a course by completing an Enrolment Cancellation form.

All refunds will be payable by cheque.

 

Exemption Application

INSTRUCTIONS

Complete each section. Failure to provide this information will delay the processing of your application. No enrolment fees are charged for Exemptions.

 

SECTION 1 – Personal data

 

SECTION 2 – Information about the unit in which you are seeking Exemption and the qualification you are using as the basis for that Exemption. Exemption will only be granted on the basis of a matched unit successfully completed within an accredited course of study.

 

SECTION 3 – Supporting Documentation – All Exemption applications, apart from those using South West Institute of TAFE training as the basis for Exemption, must be accompanied by:

 

3.1 An original or a certified copy of your academic records.
3.2 The appropriate documentation if you have changed name since obtaining the qualification.
3.3 If your supporting qualification is not from a Victorian or nationally recognised qualification, provide the nominal length of the unit completed and a description of the unit content.

 

SECTION 4 - Signature and date

 

Successful Exemption results will be registered as one of the following:

EX1 Identical study with another training provider

EX2 Equivalent study with another training provider

EX3 Equivalent study at South West TAFE
